Overview

What it does.

QuickBooks Online is Intuit's cloud accounting product for small businesses, covering bank feeds, invoicing, bills, sales tax, reporting and optional payroll. Intuit Assist, included in every plan, categorizes bank transactions, flags anomalies for review, drafts invoice reminder emails, and answers plain-language questions about cash flow and reports. Owners of online stores, local shops and service firms use it as the system of record their accountant also logs into, since most US bookkeepers already know the product. It connects to Shopify, Amazon, Square, Stripe, PayPal, Gusto and thousands of bank accounts, and apps like Dext and Expensify push receipts into it. A typical workflow is connecting bank and sales channels, letting the AI propose categories, then reviewing the suggestions weekly before month-end close. One caveat: Intuit has raised prices twice in two years and the entry plan allows only one user, so multi-person teams end up on Essentials or Plus quickly.

Verdict

Who it suits.Who it doesn’t.

Best for

  • US small businesses that want mainstream accounting their bookkeeper already uses, with AI categorization built in.
  • Capturing vendor bills by photo or email and scheduling payments inside the ledger.
  • Plain-language questions about sales, expenses and profit by customer or product.
  • Pulling vendor, date and amount from receipts snapped in the mobile app.

Not ideal for

  • Businesses outside Intuit's core markets or very small solo operators who only need free invoicing.
  • Bill approval workflows only exist on Advanced, so small teams approve manually.
  • Custom report building and dimensional tagging are limited on lower plans.
  • Line-item extraction is weaker than dedicated capture tools like Dext.
